PERSONNEL MANAGEMENT SYSTEM – SERVICE AGREEMENT

Parties:

This Agreement is entered into between KAYRUMAY (hereinafter referred to as the “Service Provider”) and the natural or legal person using the PERSONNEL MANAGEMENT SYSTEM (hereinafter referred to as the “User”) under the following terms and conditions.

1. Scope of Service

The Personnel Management System provides digital workforce management services including but not limited to:

  • Employee check-in and check-out tracking
  • Shift management and monitoring
  • Excel-based reporting
  • Company and employee management
  • Location-based verification

2. Sample Data & Non-Official Nature

Any sample reports, test data, or demo outputs generated within the system do not constitute official documents. Such outputs are provided for informational purposes only and may not be submitted to official institutions.

3. Liability for Incorrect Data

The User is solely responsible for any consequences arising from:

  • Incorrect data entry
  • Incomplete information
  • Incorrect location submissions
  • Improper employee assignments
  • Manual system modifications

KAYRUMAY shall not be held liable for any financial, administrative, or legal consequences resulting from inaccurate or incomplete user-provided data.

4. Reporting Disclaimer

Reports including but not limited to Excel outputs, daily or monthly shift summaries, salary or working-time calculations are automatically generated based on user-entered data. The accuracy of such data is entirely the responsibility of the User.

5. Data Processing & International Transfer

By using the system, the User explicitly consents to:

  • The processing of personal data within Turkey or abroad
  • The storage and backup of data on servers that may be located internationally
  • International data transfer for infrastructure and security purposes

6. System Interruptions & Technical Issues

KAYRUMAY shall not be held responsible for temporary service interruptions caused by internet failures, server maintenance, force majeure events, software updates, or cyber-attacks.

7. Acceptance of Agreement

By downloading, registering for, or using the system, the User acknowledges that they have read, understood, and unconditionally accepted the terms of this Agreement.


PRIVACY POLICY & DATA PROTECTION

This Privacy Policy governs the processing of personal data collected within the Personnel Management System.

1. Data Collected

  • Name and surname
  • Phone number
  • Email address
  • Location data
  • Check-in / check-out records
  • Working duration information
  • Salary and role-related information

2. Purpose of Data Processing

Personal data is processed for the following purposes:

  • Employee monitoring and tracking
  • Shift record management
  • Reporting and analytics
  • System security
  • Legal compliance obligations

3. Data Security

KAYRUMAY implements appropriate technical and administrative measures, including encryption and token-based authentication systems. However, absolute security cannot be guaranteed due to the nature of internet-based services.

4. International Data Transfer Consent

The User acknowledges and agrees that server infrastructure and backup systems may be located outside their country, and personal data may therefore be transferred internationally.

5. Data Subject Rights

Users may request:

  • Deletion of their data
  • Correction of inaccurate data
  • Information regarding the purpose of processing

6. Severability

If any provision of this Agreement is deemed invalid or unenforceable, the remaining provisions shall remain in full force and effect.

7. Declaration of Consent

By using the application, the User declares that they have read, understood, and accepted this Privacy Policy and Service Agreement.
